The Lublin Voivodeship Office will often send decisions, summons and other important correspondence via registered letters with delivery receipts attached (ZPO) using the services of Poczta Polska. This means that after the letter has been delievered, the office will receive a paper slip with the signature of the person that accepted the mail - this constitutes an important proof that the letter was delivered effectively.
The postman will deliver the mail to the address indicated previously by the recipient. The recipient or another adult resident at the address may then accept the delivery using a handwritten signature. If the addressee is not present at the time of the delivery, the postmans will leave behind an awizo, a proof of an attempted delivery. It indicates where and when the letter can be obtained.
The awizo provides information on the specific post office that holds your correspondence and sets a time limit of 14 days for picking up the mail. During that time, the addressee may visit the correct post office and obtain their letter after providing a proof of identity such as a passport or a residence card.
If you fail to pick up the letter in the set timeframe, the letter will be considered 'delivered' even if in reality the mail was not taken from the post office. After the deadline, the letter will return to the office that sent it, with an annotation 'failed to pick up within the time limit'. In practice, it means that the office can progress with its proceedings while the recipient has no knowledge of the content of the letter and will struggle to take action expected by the authorities.
An up-to-date address is a guarantee that correspondence will find its way to the correct recipient. Notifying the office of any changes in your registered address will only take a moment but will save you from many issues and misunderstandings. In the event of changing residences or the correspondence address, it is crucial to inform the office as soon as possible. Failing to do so will result in all official mail being sent to the old address. Even if the new address remains within the bounds of the same city, the office is not required to establish its validity on its own.
